Procurement Workflow Optimization

At the request of my supervisor in LP&L’s Engineering Department, I designed and built a customized Purchase Order Process Tracker to streamline and centralize the company’s procurement workflow. My boss expressed that there was no organized way to track a purchase from request through delivery, so we sat down and walked through the full process together — from initial material requests to PO creation and final delivery. I took detailed notes, followed up throughout development, and refined the tool to incorporate critical nuances, such as handling multiple quotes stemming from a single requisition.

The result was a dynamic Excel-based tool powered by VBA macros, organized into four clearly defined stages: Requisitions, Quotes, Purchase Orders, and Historical Records. Every stage is connected, auditable, and automated for ease of use and time savings.

Key features included:

  • Automated Record Movement: Click-to-advance functions move requests through each stage, carrying over metadata like dates, IDs, and requestor information.

  • Dynamic Dashboard: A real-time summary view highlights items by stage, shows average processing durations, and includes toggles for detailed vendor or PO line analysis.

  • Line Item Tracker: Users can double-click on any PO, Quote, or Requisition to preview or enter item-level data through custom forms.

  • Undo Functions & Audit Log: Each movement is time-stamped and recorded for traceability, with undo macros to reverse the most recent batch if needed.

Final Reflections

This project not only strengthened my skills in process design, Excel/VBA automation, and cross-functional communication, but also contributed directly to LP&L’s long-term initiative to transition inventory management to a centralized warehouse by 2027.
